Position Overview
We are currently looking for a Portfolio Groups & Meetings Coordinator to join our team at Pro-invest Group. In this role, you will play a vital part in supporting our sales team by managing group and meeting inquiries, crafting proposals, and ensuring the seamless execution of events that meet our revenue targets. What you'll do
Accurately record all activities, leads, and sales initiatives in CRM (Delphi).
Qualify group and meeting leads and prepare proposals to secure business.
Collaborate with the Groups & Meetings team to achieve revenue goals and conversion targets.
Ensure timely and personalized responses to inquiries and follow-ups to convert leads.
Prepare and manage group agreements, ensuring proper terms, pricing, and availability.
Assist with OTB, C&E forecast reporting, and other key MICE reports as directed.
Maintain accurate content across online booking platforms (Cvent, Venue Finding, etc.).
Work cross-functionally with sales, operations, and F&B teams to ensure event success.
Respond promptly to all client inquiries, providing personalized and efficient service.
Assist in the coordination of events, including site inspections, food & beverage setups, and other event logistics.
Build and maintain positive relationships with clients, ensuring their needs are met before, during, and after events.
Who you are
Strong time-management skills with the ability to prioritize tasks in a fast-paced environment.
Excellent verbal and written communication skills.
Proficiency in Microsoft Office and experience with CRM systems (Delphi).
Customer-focused with the ability to engage with corporate clients and vendors.
Ability to work both independently and collaboratively in a team environment.
